Are you someone who wants to make a difference in the world through your work?  Christian Veterinary Mission is looking for a full-time Administrative Assistant in their Seattle Short-Term Missions office.  This position helps facilitate veterinary professionals in serving around the world through CVM and should be someone with a heart for missions, a commitment to excellent customer service, and an eye for detail.  This position is responsible for supporting the Short-Term Missions Coordinator and Program with all accounting, data entry, financial reporting and management of short-term financial accounts in order to facilitate mission trip participants.

 

ESSENTIAL JOB DUTIES: Responsibilities, Accountabilities, & Competencies; May not include all duties of job.

  • Administrative support for the Short-Term Missions Program including:
  • Managing the Short-Term Financial Accounts to ensure accurate information and receipting on all Short-Term Mission participants.
  • Responsible for donation processing such as coding checks to the correct donor and account, creating new donor records in Salesforce database, check requests, wire transfers and processing and mailing receipts on a day-to-day basis. 
  • Run standard financial reports and audits from Salesforce database and Agresso accounting software for Short-Term Department’s needs.
  • Run standard participant reports from Survey Monkey for data collection.
  • Communicate with Short-Term Trip Participants regarding account balances, pre-trip preparation & training, application status, trip logistics, and trip opportunities via email, phone, and online learning management system (LearnUpon)
  • Update Salesforce database with address changes from returned mail, donor contact information via phone and e-mail, and entry of new constituent records.
  • Share back-up support, financial and administrative support for general administrative responsibilities for CVM.
  • Perform other duties as assigned.

ESSENTIAL QUALIFICATIONS: Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience

  • Christian Commitment:
  • A personal deep faith and walk with the Lord Jesus Christ, as evidenced by a growing faith and a Christian walk of ministry and service.
  • Enthusiasm for the Lord’s work through the profession of veterinary medicine.
  • Education:
    • BA or BS degree from an accredited college or university recognized by the United States Department of Education or equivalent.  Relevant work experience may be substituted for education on a year-for-year basis.
  •  Experience:
  • A minimum 2 years administrative experience and demonstrated success with the below:
  • Excellent attention to detail and organization
  • Experience with donor databases with strong data collection and reporting capabilities (Salesforce, Agresso preferred, but not required)Technologically savvy (Social media experience a plus)
  • Heart for ministry (experience with international missions a plus)
  • Strong team member
  • Good communication skills, both written and verbal
  • Ability to prioritize and multitask
  • Proficient in basic office equipment: fax, copier, voicemail, computers
  • Knowledge of basic bookkeeping and basic accounting
  • Ability to meet deadlines
  • Excellent customer service
  • Good problem solver
  •  Licensure/Certification: None needed
  • Other Considerations:
  • Open shared office environment.
  • Normal work hours are 8:00 a.m. to 5:00 p.m. Monday through Friday.
  • Requires attendance at occasional early morning or evening functions.
  • Frequently required to negotiate stairs between first, second and third floors to attend meetings. No wheel chair or elevator access.
  • Ability to work collaboratively with supervisor, coworkers and customers.
  • Software and Equipment Used:   
  • Proficient with computers, specifically in Microsoft Word, Excel, Outlook

PREFERRED QUALIFICATIONS: Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience

  • Experience: 
  • International missions experience and familiarity with the deputation model of missions support.
  •  Software and Equipment Used:
  • Intermediate knowledge of database software, in particular, Salesforce.
  • Agresso or other business accounting systems.
  • LearnUpon learning management system software
  • Intermediate experience working with Agresso
