Job Description:

Accounting and Bookkeeping

  • Ensure timely and accurate accounting close activities each month.  Prepare and post journal entries into Peachtree general ledger system ensuring proper account coding and classification.
  • Oversee timely preparation, approval, processing and reporting of payroll.
  • Prepare, validate, code and process invoices for payment
  • Develop and maintain financial accounting systems for cash management, accounts payable, accounts receivable, staff contribution accounts, cash and non-cash donations, program and office allocations and petty cash including preparation and posting of all relevant accounting entries
  • Develop, implement, and ensure compliance with sound internal financial and accounting policies and procedures
  • Manage the bookkeeping function including maintenance of the general ledger, accounts payable, accounts receivable and payroll journals
  • Manage the acquisition of capital assets and ensure that assets are properly recorded, tracked, monitored, amortized, and disposed of as appropriate

 

Financial and Regulatory Reporting

  • Develop and maintain timely and accurate financial statements and reports that are appropriate for the users and in accordance with generally accepted accounting principles (GAAP) for non-profit organizations
  • Ensure that all statutory requirements of the organization are met including Non-profit contribution forms (8283), Sales and Use Taxes, Charitable Status, Withholding Payments, Form 990 Income Tax Exemption, Employer Tax, Short Form Annual Return (Form 5500-SF), report of small employer benefit plan, etc.
  • Prepare all supporting information and draft financial statements for the annual audit and liaise with the Board's Audit Committee and the external auditors as necessary
  • Document and maintain complete and accurate supporting information for all financial transactions
  • Assist the President & CEO and the Board with financial reporting and analysis as required at Board meetings.
  • Oversee the administration of employee benefit programs such as vacations, long-term disability insurance, and 403 (b) retirement plan.

 

Budgeting and Forecasting

  • Oversee and lead annual budgeting and planning process in conjunction with the President & CEO; administer and review all financial plans and budgets; monitor progress and changes and keep senior leadership team abreast of the organization's financial status.
  • Review monthly financial results and implement monthly variance reporting.  Work with office Directors to evaluate and report on monthly variance trends.
  • Manage the cash flow and prepare cash flow forecasts in accordance with policy

 

Treasury and Risk Management

  • Monitor risk management policies and procedures to ensure that program and organizational risks are minimized
  • Process bank wire transfers ensuring proper approval, coding and timely posting to accounting systems.
  • Reconcile bank and investment and petty cash accounts

Office Administration and IT

  • Responsible for overall Office administration for the Charlotte office
  • Monitor Lease agreements and process lease transactions each month.  Oversee lease renewal process as needed.
  • Develop and implement policies and procedures to ensure that personnel and financial information is secure and stored in compliance with current legislation
  • Oversee the management, security and support of MAI information systems including phone systems, software, networks, servers, file sharing, email, storage and back-up
  • Oversee acquisition and maintenance of office hardware including computers, copiers, printers, etc.

Position Requirements

B.A. in business or accounting required.  CPA preferred

Ability to utilize personal computer and advanced knowledge of Microsoft Excel, Outlook, Word; familiarity with Peachtree accounting software a plus.

Minimum of 10 years of overall relevant work experience, 5+ of broad financial accounting and business operations management experience. 

Track record in nonprofit accounting and human resources

Excellent communication and relationship building skills.

Self-starter with the ability and initiative to see and implement opportunities for improvement and take the lead in ensuring that work gets done.
