Job Description:

Role Summary: The Administrative Assistant (AA) is an integral position on the Operations Team at International Project (IP). The AA will be responsible for developing and maintaining administrative processes that help move the mission of IP forward. The AA should be detail-oriented, professional, and willing to support other members of the Operations Team as needed. The ideal candidate for this position will be a quick learner, proactive, and have a broad range of experience with customer service, data entry, office administration, and event planning. The AA will report to the COO.

 

Work Hours: The AA should expect to work in the office Monday through Friday, 9am - 5pm.

 

Responsibilities:

  • Receive, record, and deposit donations weekly.
  • Communicate clearly and professionally through written and verbal communications.
  • Maintain an efficient documentation and filing system.
  • Act as a liaison between the Operations Team and other IP leaders as needed.
  • Book travel arrangements for the Operations Team.
  • Manage multiple email inboxes.
  • Receive calls, take messages, and route inquiries.
  • Coordinate meetings, appointments, and reminders for Operations Team.
  • Monitor office supplies and research advantageous deals, keeping all necessary office and ministry supplies stocked.
  • Produce reports, presentations and briefs in all areas of the organization.
  • Oversee event planning and organization.
  • Assist the COO in other administrative duties as needed.
  • Handle basic administrative needs for the Operations Team.

 

Qualifications and Skills:

  • Bachelor’s degree or equivalent experience in a related field.
  • Exceptional organizational skills and attention to detail.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • Discretion when handling confidential information.
  • Proficiency in Microsoft Office, G-Suite, and CRM/DMS.
  • Uphold a close and growing relationship with Jesus Christ.
  • Must agree with International Project’s Philosophy of Ministry.

 

Physical and Mental Requirements: This position demands the ability to remain in a stationary position and use a computer for up to eight hours at a time. This position regularly requires walking up to 2 miles, ascending/descending stairs, bending down, opening cabinets, and lifting/carrying up to 30lbs. This position requires punctuality, clear thinking in potentially stressful situations, and professionalism.
